Getting started

From a fresh install to a room that can call you takes about fifteen minutes.

  • Install the app from the download page and open it.
  • Sign in with your mobile number. You'll receive a 6-digit code by SMS. The first number to sign in becomes the hotel owner.
  • Set up the hotel — name, address, contact details. You can change these later from Manage → the pencil beside your profile.
  • Add rooms from the Rooms tab: number, floor and type. Photos are optional.
  • Print the QR card for each room (see Rooms & QR cards) and place it where a guest will see it.
  • Add your receptionists from Manage → Staff, or switch on Receive guest calls in Manage to take calls on your own phone.
  • Check a guest in to a room with their mobile number. From that moment, the card in that room calls you.
Try it yourself first. Check yourself into a room with your own number, scan the card with a second phone, and call. You'll hear the ring, see the room on the lock screen and know the whole path works before a guest tries it.

Signing in

I'm not receiving the verification code

  • Check the number is entered with the correct country code. Indian numbers should read +91 followed by ten digits.
  • Wait a full minute — SMS delivery can lag on some networks — before requesting another code. Repeated requests in quick succession are rate-limited.
  • If your phone shows a "Refreshing" or captcha popup, complete it. It appears when Android cannot verify the app automatically and is harmless.
  • Still nothing after two attempts? Email us with the number (we need it to check delivery on our side).

I've changed my phone number

Your account is tied to the number you signed up with. Email us from a number or address we can match to the account and we will move the hotel to your new number. Staff should ask the hotel owner to remove the old account and add the new number from Manage → Staff.

I'm a receptionist and it's asking me to set up a hotel

The number you signed in with isn't on any hotel's staff list yet. Sign out and ask the owner to add exactly that number (with country code) from Manage → Staff, then sign in again.

Rooms & QR cards

Printing the card for a room

Open the room from the Rooms tab and tap Share / Print. The app generates a PDF with a welcome line, the room number and the QR code, and hands it to Android's share sheet — send it to a printer, save it, or email it to the print shop. The code on paper is the same code shown on screen.

It says the room number already exists

Room numbers are unique within a hotel and the check is done on the server, so two people adding "205" at once can't both succeed. Look for the existing room in the list; it may be spelled slightly differently ("205 " with a space, or "0205").

A room shows "Needs cleaning" and I can't check anyone in

That's by design. Check-out marks the room for cleaning; housekeeping marks it clean from their Home tab, which returns it to vacant. An owner or receptionist can also mark it clean from the room screen if housekeeping is unavailable.

A photo won't upload

Photos upload as soon as you pick them, before you tap Save. If the thumbnail never appears, check the phone has data or Wi-Fi and try again; very large videos are compressed first and can take a few seconds.

Guest calls

My phone doesn't ring when a guest calls

Run through these in order; the first four cover almost every case.

  • Are you on duty? Receptionists: the duty toggle on the Home tab must be on. Owners: Manage → Receive guest calls must be on. Only on-duty phones ring.
  • Are notifications allowed? Android Settings → Apps → Roomservize → Notifications. The app asks on first launch; if you tapped "Don't allow", the phone will never ring from the lock screen.
  • Is battery optimisation exempting the app? Settings → Apps → Roomservize → Battery → Unrestricted. Some phones (notably Xiaomi, Oppo, Vivo, Realme, OnePlus) also have an "Autostart" or "Background activity" switch — turn it on. Without it the phone may delay the ring until you unlock it.
  • Is the phone online? A ring is delivered as a push; on a poor connection it can arrive late. The app also rings on its own whenever it is open in the foreground.
  • Was the call already answered? Every on-duty phone rings together and the first to accept takes the call — the others stop. Check the Home tab's recent calls to see who answered.

The guest says the call sits on "Connecting…"

  • The guest must allow the microphone when the browser asks. If they tapped Block, they need to open the site settings in their browser (the padlock beside the address) and allow it.
  • The guest page must be opened from the printed QR card (an https:// address). A link retyped by hand as http:// will load but cannot use the microphone — browsers require a secure page for that.
  • Very restrictive Wi-Fi (captive portals, some corporate networks) can block voice traffic. Ask the guest to try on mobile data once; if that works, the hotel network needs to allow UDP traffic.

I can hear the guest but they can't hear me

Check the phone's own microphone isn't muted in the call screen, and that no other app (a voice recorder, another call) is holding it. If you use a Bluetooth headset, the app needs the Nearby devices permission to route audio to it — allow it in Settings → Apps → Roomservize → Permissions.

The ring stops by itself

An unanswered call rings for a fixed period and then times out, and the guest is told nobody was available. This is deliberate — a call nobody answered shouldn't sit ringing for an hour. Missed calls appear on the Home tab.

Are calls recorded?

No. Audio is live only. We keep the time, room, duration and outcome of each call — see the privacy policy.

Staff accounts

Adding a receptionist or housekeeper

Manage → Staff → Add. Enter their name, mobile number with country code, and role. They sign in with that number and get an app shaped for their role: receptionists see Home, Rooms and Manage; housekeeping sees Home and Manage. Nobody sees a screen they cannot use.

Removing someone

Open the staff member and tap Deactivate. Their access ends immediately — the next thing they do in the app is refused — and their phone stops ringing for guest calls. Their record stays so past check-ins and calls still show who did them.

A staff member sees "You do not have permission"

They've been deactivated, or they're signed in with a different number from the one you added. Check the number on their staff record character by character.

Check-in & check-out

Checking a guest in

Rooms tab → the vacant room → Check in. Enter the lead guest's name and mobile number, add other guests if you like, attach identity documents if your hotel requires them, and confirm. If the number has stayed before, their details fill in as soon as the number is complete.

The mobile number is the guest's key to the room's QR page. Enter it carefully, with the country code. A wrong digit means the guest cannot open the page and will report "the QR code doesn't work".

The guest didn't give a mobile number

You can still check them in — their name is kept on the booking — but they will not be able to unlock the QR page, so they cannot call reception or order from their phone. If they later provide a number, check them out and in again.

Checking out

Open the room → Check out. The booking closes, the guest's QR session stops working, and the room moves to "Needs cleaning" until housekeeping clears it.

Two receptionists tried to check in to the same room

Only one succeeds; the other sees that the room is already occupied. This is enforced on the server so a double booking cannot happen even from two phones at once.

The guest page

The guest says "the QR code asks for a phone number"

That's expected — it's how the page knows which stay it belongs to. The guest enters the number given at check-in. There is no code to type and no app to install.

The guest gets "We couldn't verify this number"

  • The number doesn't match the one on the room's current check-in. Compare it with the booking, including country code.
  • The room has no active check-in. If the guest is in the room, check them in.
  • The guest is scanning a card from a different room — cards are room-specific.

The guest page shows the wrong hotel or room

Cards are generated per room; a card printed for 205 and placed in 206 will call as 205. Reprint the card from the correct room screen.

What can guests see?

Their room, Call Reception, the services you've switched on (housekeeping, laundry, restaurant), Wi-Fi details, offers, their own requests and a feedback form. They never see other guests, other rooms or any hotel settings.

Requests & services

Turning services on

Manage → Settings → Services (owner only). Housekeeping is on by default; laundry and the restaurant are off until you enable them. Each has its own list of items or dishes with prices; guests only see what's enabled.

Where do requests arrive?

On the Home tab of every receptionist and the owner, with an open-request count. Tap a request to move it along: received → in progress → done, or cancel it. The guest sees the status change on their Requests tab.

A guest was charged the old price

Prices are copied onto the request at the moment it is placed — the request is the receipt. Changing the catalogue afterwards affects new orders only. That's intentional: the guest ordered at the price they saw.

Offers

Manage → Settings → Offers. Offers are banners guests see on their home page; they do not apply a discount to orders automatically. Apply any discount when you settle the bill.

Notifications

Owners and receptionists receive a full-screen incoming-call notification with a looping ringtone, and a standard notification for new guest requests. Housekeeping receives none. The push that wakes the phone carries only an internal call ID; the room number is fetched by the app once it wakes, so it never travels through the notification network. If notifications stop after an Android update, re-check Settings → Apps → Roomservize → Notifications and Battery.

Deleting your account

Staff

Ask your hotel owner to deactivate you from Manage → Staff. If the owner is unreachable, email us from a number or address we can match to the account.

Owners

Email info@roomservize.com from the mobile number on your account, or quote it. We will confirm the request with you and delete the account and the hotel — rooms, media, staff accounts, bookings, guest records, requests and call history — within 30 days. Deletion cannot be undone.

Guests

Your details are held by the hotel you stayed at. Ask the hotel to remove them; staff can delete guest documents from a booking in the app. If you cannot reach the hotel, email us with the hotel name and the mobile number you gave at check-in and we will help.

Contact

Email info@roomservize.com. Include your hotel name and, for a call problem, the room number and the approximate time — the call record lets us see exactly where it stopped.
